Workbench In Salesforce: An Interesting Tutorial For 2021

INTRODUCTION 

Workbench is a web-based system that is used by Salesforce administrators (hence, Workbench in Salesforce) and Salesforce developers of an organization which helps them to communicate with the Salesforce for various information like Data insert, update, delete and export. Workbench also helps in retrieving data. Workbench in Salesforce is built using JavaScript and PHP. This is an advanced tool and more than 5 million data can be recorded. Data Loader is here for any Data Manipulations in Salesforce. For updating any record using Data Loader, first export the file, then modify it into an excel file and load it.

Workbench in Salesforce is user-friendly as it provides data to the Administrators and Salesforce Developers which helps them in administrating the Salesforce of the organization with the help of Force APIs. Using this tool, the Salesforce Developers and Administrators can easily perform Salesforce Object Query Language (SOQL) and Salesforce Object Search Language (SOSL) which helps them in performing data loading and testing and modify their session settings.

1. HOW TO USE WORKBENCH IN SALESFORCE?

To access the Workbench Salesforce, the following steps need to be followed:

First, navigate to the link https://workbench.developerforce.com/login.php. Then follow the steps.

 1) Log in to Workbench in Salesforce (Salesforce Workforce) with the account credentials given by salesforce.com. Then select the environment and API version that is required. After selection, click on Login with Salesforce.

2) After successfully logging in, you can select from Jump to menu and Object menu. You will be provided with various options:

  • Apex Class
  • Apex Page 
  • Workflow
  • Approval
  • SOSL Query
  • SOQL Query
  • Insert
  • Update 
  • Delete
  • Undo
  • Upsert

            Choose your desired option and click on Select.

3) On top of the menu bar, you will have 5 options, info, queries, data, migration, utilities.

  • First select info. There are three sections under this menu

Standard and Custom Objects: Here we can select an object, after selecting, related data is displayed. This menu helps in finding the relevant data which the Salesforce Administrator or Developer is looking for.

Metadata Types and Components: Here, we can choose any metadata component from the options provided; Apex class, Approval, Workflow, Apex Page.

Session Information: This helps the user in displaying the session of the user. If the System Administrator is using it, he or she can end or cancel any session in Salesforce Workbench.

  • Next, select Queries. There are two queries under this menu:

SOSL Query

SOQL Query

From the Query section, we can select the objects and fields whichever we want and apply them to build a SOQL query. We can view the records in a list form or in a matrix form which can be downloaded in the form of CSV.

  •  The next option is Data. This option is used to select a particular object and perform the following operations:
  • Insert 
  • Update
  • Delete
  • Undo 
  • Upsert

We can also upload records from ZIP or CSV files. The records can be viewed by simply clicking on the View option present in the Salesforce button, this redirects to the organization.

  • The next option is Migration. This menu helps in retrieving data. We can use package.xml and this directly deploy it in the Salesforce Organization.
  • The next option is Utilities. This menu contains the following:
  • REST Explorer
  • Apex Execute
  • Password Management 

REST Explorer: This option helps in choosing the HTTP method to perform the Rest API service.

Apex Execute: We can create, delete, and update a record using this. This helps in creating new objects containing null values for the fields.

Password Management: The password can be set, change and reset by the Salesforce Administration using this method.

2. ADVANTAGES OF WORKBENCH IN SALESFORCE

  • Salesforce Workbench Login

Salesforce in Workforce supports standard username and password login with session ID or OAuth 2.0 Remote access login. OAuth enables users to log in to Salesforce Workbench and authenticated while using Salesforce without giving the username and password to Salesforce Workbench.

  • Data Management

Salesforce in Workforce allows you to edit and view single records just by clicking on the ID in query and search results. And if you know the id, then you can directly go to the operation we need on the Data menu and paste the ID into the single record field.

Salesforce Workbench helps in uploading a ZIP file to insert, update, upsert or delete binary files. 

With the help of insert, update, Smart Lookup allows you to provide foreign external ID lookup fields which find the relevant Salesforce IDs automatically.

  • Easy Data Extraction

Workbench in Salesforce helps in data extraction like removing information related to users who have been identified such as roles, profiles, and permissions.

CONCLUSION

Data Management One of Workbench’s best functionality is called Smart lookup, which helps you in replacing the VLOOKUP option in excel. Smart Lookup is used in case of Insert, Update, Upsert, or Delete function and it is not mandatory, it will help you to provide Standard id lookup field value with Salesforce Ids automatically.
